Answers To Frequently Asked Questions

New How do I request a classroom?
  • Visit https://eventspace.georgetown.edu/VirtualEMS/
  • Hover your mouse over “My Account” and click “Log In”
  • Enter your User Id and Password, which is your NetID and password.
  • Hover your mouse over “Reservations” and select “Classroom Request Main Campus Faculty”, “Classroom Request Main Campus Deans & Admins”, or “Classroom Request Main Campus Student”, whichever applies to you.
  • Enter a Date, and you can click “Recurrence” if it is a recurring event request.
  • Enter a Start Time and End Time.
  • To narrow down your search, you can pick a building under “Facilities” or leave it as “(all)” to see every room available at your selected time frame.
  • Enter the number of people for “Attendance”
  • “Set Up Type” can stay as-is.
  • “Room\Space Type” can stay as-is.
  • Click “Find Space”
  • You will be taken to a grid that lists classrooms.  Blue bars note that a classroom is already reserved.  Look between the red lines to see which classrooms are free.  A white space in between the red lines shows that a classroom is tentatively available.  Please remember that classrooms may appear to be free when in fact they are already reserved. 
  • Once you see a room that you would like, click the green plus sign to the left of the listed classroom.  If you change your mind, you can delete the request by clicking the red X at the top of the page. 
  • Once you are satisfied with the room you have selected, click the yellow “Continue” box at the bottom of the page. 
  • Enter all fields noted by a red asterisk, and any additional information that you would like us to have.  This includes:

Student and Administrators

  • Event Name
  • Event Type
  • Client
  • First Contact
  • Phone
  • Email
  • Estimated Attendance
  • Group name, if you are a student group
  • Answer “Will this event be open to groups outside of the Georgetown community?”
  • Answer “Will this event use advertising?”
  • Event Description

Faculty

  • Event Name
  • Event Type
  • Client
  • First Contact
  • Phone

  • Course Number
  • Estimated Attendance

  • When finished, please proof and click the yellow “Submit” button at the bottom of the page.
  • You will receive an email that states what you have requested.  This email is not a confirmation.  You will receive an email from classroomrequests@georgetown.edu with a room confirmation.

Is dancing allowed in classrooms?

Unfortunately dancing is not allowed in classrooms.  Possible options are Healey Family Student Center or Residence Hall Lounges.

Can groups hold events in which food and drink are served?

Food and drink are not allowed in classrooms.

When do classrooms and buildings close?

Car Barn closes at 7pm, and is not open on weekends. White Gravenor, Reiss, and St. Mary's are closed on Sundays.  All other buildings close at 11pm.

What should I do if an assigned space is locked?

Classrooms are supposed to be open. If you find a locked door, you can contact Public Safety at 202-687-4343, and they can come open it.

Can we reserve computer labs?

We have computer labs, but they are limited.

As an individual can I reserve classroom space?

Groups (and individuals) that do not have access will be forwarded to the Center for Student Engagement for approval before space can be assigned.

What kind of technology can be found in the rooms?

All classrooms have computers and projector screens. There is no TV access in the classrooms.  Please check the website for CETS http://cets.georgetown.edu or call 202-687-7491.

What if I need AV equipment?

What if I cannot use the classroom request form?

Were you logged into a Gmail account before trying to reserve a classroom?  The form doesn't work well if a Gmail account is logged in and then you try to click the link.  It works if you are not logged into any email (and will then prompt you to enter your NetID) or it also works if you're logged into a Georgetown email.

Are there any times where I cannot reserve a room?

Students cannot reserve space during New Student Orientation, final exams, study days, and summer.

Can we hold a study break during Study Days?

One study break may be approved.

How does the entire classroom request approval process work?

You fill out the classroom request form on the website. Once we receive it, a confirmation of receipt is emailed to you. We work on the requests in date order, and will get back to you with an assignment (generally within two business days) as soon as we can. If you have concerns please send an e-mail to classroomrequests@georgetown.edu or call 202-687-4020.

What should I do if someone happens to be in the room I am assigned?

If there is someone in the room you are assigned to, please be respectful and show them your room confirmation. You should always bring a copy of the classroom reservation from the Registrar’s Office to your event. If the event is in progress please call the Registrar’s Office at 202-687-4020 or CETS at 202-687-7491. Please let the Registrar’s Office know if this happens so that we can communicate with the group in the room.
